SugarCRM has released a new cloud-only feature for their platform that helps you to speed up your processes – action buttons. 

Action buttons can be placed in a record in SugarCRM, once clicked they execute an action. This includes: 

  • Opening a URL
  • Creating a record
  • Composing an email
  • Running a report
  • Updating a record
  • Assigning a record
  • Document Merge

Not only do action buttons save you time and remove manual effort, but they also ensure accuracy and prevent human error. They’re colourful and easy to use, encouraging user adoption.

We’ve put together 5 SugarCRM action button templates for you to use in your system, completely free.

1. Companies House check

This SugarCRM action button allows you to instantly search a company on Companies House. When clicking the action button, it’ll take you straight to the website and search the business’s name – without any manual work. 

How to add the Companies House action button:

  1. Navigate to the Admin section (this is under your User’s icon in the top-right hand corner) and click ‘Studio’
  2. Choose the ‘Accounts’ module, then choose ‘Fields’.
  3. Click ‘Add Field’ then choose ‘ActionButton’ from the Data Type dropdown.
  4. Add ‘Field Name’ and ‘Display Label’. We’d recommend ‘Companies House check’, or something similar. Please note that in your ‘Field Name’, you need to replace spaces with underscores. Click ‘Configure’.
  5. Change the ‘Label’ field to ‘Companies House Check’ (or whatever you have named your button). Keep the ‘Show Label’ checkbox ticked.
  6. Choose the colour of your button with the ‘Colour Scheme’ dropdown and your icon with the ‘Icon’ dropdown. As you change this, it will preview the button on the right hand side panel, ‘Layout Configuration’. Keep the ‘Show Icon’ checkbox ticked.
  7. In the Action panel, choose the action as ‘Open URL’. Tick the ‘Calculated’ checkbox.
  8. Enter the following into the box that pops up: concat(“https://find-and-update.company-information.service.gov.uk/search?q=”,$name).
  9. Determine button size in the ‘Layout Configuration’ panel.
  10. Tick ‘Display Label on Record’ and ‘Display Header’
  11. In the ‘Action Menus’ tab of the ‘Layout Configuration’ panel, tick where you want to see the action button. We would recommend all of the options. Here, you can also choose the order in which the buttons appear. Up to 3 buttons can be displayed at the top of a record – if you have more than this, they will roll up underneath the ‘Edit’ dropdown. Click ‘Save’, this will take you back to ‘Studio’. Click ‘Save’ again.

Your SugarCRM action button will now be displayed on each account. If you’d like to see your SugarCRM action button in the Record View layout, you can do this by going to ‘Studio’ > ‘Accounts’ > ‘Layout’ > ‘Record View’ and dragging and dropping the fields.

2. Personal LinkedIn look-up

This SugarCRM action button gives you an instant insight into the lead you are communicating with. You can see their job title, how long they’ve been at their company and more information that can be used as an ice breaker and assist in making your communication more personal.

How to add the Personal LinkedIn look-up action button:

  1. Navigate to the Admin section (this is under your User’s icon in the top right hand corner) and click ‘Studio’.
  2. Choose the ‘Accounts’ module, then choose ‘Fields’.
  3. Click ‘Add Field’ then choose ‘ActionButton’ from the Data Type dropdown.
  4. Add ‘Field Name’ and ‘Display Label’. We’d recommend ‘Personal LinkedIn look-up’, or something similar. Please note that in your ‘Field Name’, you need to replace spaces with underscores. Click ‘Configure’.
  5. Change ‘Label’ field to ‘Personal LinkedIn look-up’ (or whatever you have named your button). Keep the ‘Show Label’ checkbox ticked.
  6. Choose the colour of your button with the ‘Colour Scheme’ dropdown and your icon with the ‘Icon’ dropdown. As you change this, it will preview the button on the right hand side panel, ‘Layout Configuration’. Keep the ‘Show Icon’ checkbox ticked.
  7. In the Action panel, choose the action as ‘Open URL’. Tick the ‘Calculated’ checkbox.
  8. Enter the following into the box that pops up: concat(“https://www.linkedin.com/search/results/all/?keywords=”,$first_name,” “,$last_name,” “,$account_name,”&origin=GLOBAL_SEARCH_HEADER”)
  9. Determine button size in the ‘Layout Configuration’ panel.
  10. Tick ‘Display Label on Record’ and ‘Display Header’
  11. In the ‘Action Menus’ tab of the ‘Layout Configuration’ panel, tick where you want to see the action button. We would recommend all of the options. Here, you can also choose the order in which the buttons appear. Up to 3 buttons can be displayed at the top of a record – if you have more than this, they will roll up underneath the ‘Edit’ dropdown. Click ‘Save’, this will take you back to ‘Studio’. Click ‘Save’ again.

Your action button will now be displayed on each lead record. If you’d like to see your action button in the Record View layout, you can do this by going to ‘Studio’ > ‘Accounts’ > ‘Layout’ > ‘Record View’ and dragging and dropping the fields.

3. Company LinkedIn look-up

The Company LinkedIn look-up SugarCRM action button allows you to see what type of products and services they offer at a glance, their ethos, and more information that will all help in the overall prospecting process.

How to add the Company LinkedIn look-up action button:

  1. Navigate to the Admin section (this is under your User’s icon in the top right hand corner) and click ‘Studio’.
  2. Choose the ‘Accounts’ module, then choose ‘Fields’.
  3. Click ‘Add Field’. then choose ‘ActionButton’ from the Data Type dropdown.
  4. Add ‘Field Name’ and ‘Display Label’. We’d recommend ‘Company LinkedIn look-up’, or something similar. Please note that in your ‘Field Name’, you need to replace spaces with underscores. Click ‘Configure’.
  5. Change ‘Label’ field to ‘Company LinkedIn look-up’ (or whatever you have named your button). Keep the ‘Show Label’ checkbox ticked.

4. Initial call panel

This SugarCRM action button, or set of buttons, is perfect for a telesales or business development team member. It creates a colourful panel of buttons for them to automatically log their initial calls to leads or prospects without any manual input. The amount of SugarCRM action buttons you want to create is completely up to you – for example, you could have 3 – ‘Initial call – successful’, ‘Initial call – left message’, ‘Initial call – line dead’. We’d recommend adding these in the layout section of your record so that they are easily visible.

How to add the Initial call panel action buttons:

  1. Navigate to the Admin section (this is under your User’s icon in the top right hand corner) and click ‘Studio’.
  2. Choose the ‘Accounts’ module, then choose ‘Fields’.
  3. Click ‘Add Field’. then choose ‘ActionButton’ from the Data Type dropdown.
  4. Add ‘Field Name’ and ‘Display Label’. We’d recommend ‘Initial call – successful’, or something similar. Please note that in your ‘Field Name’, you need to replace spaces with underscores. Click ‘Configure’.
  5. Change ‘Label’ field to ‘Initial call – successful’ (or whatever you have named your button). Keep the ‘Show Label’ checkbox ticked.
  6. Choose the colour of your button with the ‘Colour Scheme’ dropdown and your icon with the ‘Icon’ dropdown. As you change this, it will preview the button on the right hand side panel, ‘Layout Configuration’. Keep the ‘Show Icon’ checkbox ticked.
  7. In the Action panel, choose the action as ‘Create record’.
  8. Choose the Module as ‘Calls’.
  9. Tick the ‘Link’checkbox. This will make a ‘Module’ dropdown pop up, choose ‘Calls’.
  10. Tick the ‘Autocreate’ checkbox.
  11. In the ‘Preset’ dropdown, this is where you can decide what information will be automatically populated. We’d recommend choosing ‘Subject’ to start – you can then enter what the call subject will be, for example, ‘Initial call – successful’.
  12. Also in the ‘Preset’ dropdown, choose ‘Status’. Set this as ‘Held’ (as you have already made the call).
  13. To make the call’s start date as the day you made the call, choose ‘Start date in the ‘Preset’ menu. Tick the ‘Calculated checkbox’, and enter the following into the textbox: now()
  14. Without a VoIP integration, you won’t be able to log the exact amount of time the call lasted for (luckily, we provide an excellent VoIP and SugarCRM integration – click here to learn more ?). However, you need to default this to 0 minutes and if necessary, the caller can adjust afterwards. Choose ‘Duration Minutes’ from the ‘Preset’ dropdown, and choose 00. You can choose any other necessary fields should you wish to add them.
  15. Determine button size in the ‘Layout Configuration’ panel.
  16. Tick ‘Display Label on Record’ and ‘Display Header’
  17. In the ‘Action Menus’ tab of the ‘Layout Configuration’ panel, tick where you want to see the action button. We would recommend all of the options. Here, you can also choose the order in which the buttons appear. Up to 3 buttons can be displayed at the top of a record – if you have more than this, they will roll up underneath the ‘Edit’ dropdown.
  18. Click ‘Save’, this will take you back to ‘Studio’. Click ‘Save’ again.
  19. To add this button to the record layout, go to ‘Studio’ > ‘Accounts’ > ‘Layout’ > ‘Record View’ and dragging and dropping the fields.
  20. Repeat with the other call buttons you want to add.
